Editing and Documentation Administrative Assistant - Prequalifications

The candidate will be part of the International & Domestic Business Development Department, for the Prequalification Organizational and Bid Editing Unit, within our Milan headquarters. He/she will manage the process for collecting, analysing and standardizing information concerning personnel/HR, to present during prequalification and bidding processes.

 

He/she will particularly be responsible for:

  • Identifying, in agreement with the Human Resources Department, available people to present for ongoing prequalifications and bids;
  • Analysing, collecting and drawing-up CVs, according to corporate standards;
  • Translating CVs in various languages;
  • Guaranteeing the updating of the HR Data DB for prequalifications and bids;
  • Adapting CVs to standards and according to the format required by the client;
  • Providing support to all members of the Prequalification team and to the Bidding Team. Also, when needed, the necessary support to decentralized commercial units, with regard to documents and information, for initiatives in Italy and abroad;
  • Constantly interfacing with the Human Resources Department, also guaranteeing to interface with the Operational Units, for any eventual further needs concerning the drawing-up of the documents provided, and for updating and modifying CVs.

 

Requirements

 

  • High-school diploma (Modern languages or Classical studies) or a three-year University Degree;
  • Fluent English, Spanish and French;
  • Minimum 2-4 years' experience as an administrative office secretary or similar roles;
  • Excellent knowledge of MS Office (Word, Excel and Power Point);
  • Preference will be given to candidates knowing German;
  • Excellent organization and relational skills.
